But remember that these roles may change closer to the event, and you don’t have to decide right away which role you want to take on. You’ll have plenty of time to choose later on.


Attendee Team


Registration Wrangler

What your role will include:

  • Welcome attendees and provide essential event information.
  • Register people and match them with badges.
  • Distribute lanyards and direct attendees to their designated areas.

What it will not require:

  • Handle technical issues with tickets or payments.


Swag Station Wrangler

What your role will include:

  • Handle the distribution of free swag like t-shirts and other items.
  • Organising the swag bags for the WordCamp attendees.

What it will not require:

  • Manage inventory.


Media & Communications Team


Social Media Support

What your role will include:

  • Manage WCEU social media, engage with the online audience, and assist attendees.
  • Writing posts and sharing photos on WCEU’s social media during sessions, interacting with online comments, and assisting attendees with social media-related inquiries.

What it will not require:

  • Create long-form content or manage press enquiries.


Content Creators

What your role will include:

  • Create Video content alongside with the Photography team but as a member of the Marketing team.
  • Basic editing skills (Canva and add subtitles) to prepare the content to be posted on the social media accounts.
  • Use concepts provided by the team.

What it will not require:

  • To create concepts and scripts yourself.


Community Team


Contributor Day Assistant

What your role will include:

  • Welcome and guide participants at Contributor Day, ensuring a smooth onboarding experience for new contributors.
  • Answering questions, directing people to the correct contributor tables, and assisting newcomers in creating Slack accounts.

What it will not require:

  • Provide technical contribution support for specific teams.


Community Booth – Greeter

What your role will include:

  • Help attendees feel welcome and introduce them to the WordPress community.
  • Answering questions about the community and project, assisting with WordPress-related inquiries, inviting people to join, and explaining the power of open-source.
  • You’ll represent the community to those unfamiliar with it, sharing your own experience.

What it will not require:

  • Provide tech support or fix WordPress installations.


WordCamp Connect Moderator

What your role will include:

  • Facilitate engaging discussions and ensure a smooth flow of sessions at WC Connect.
  • Introducing speakers, keeping discussions orderly, ensuring adherence to the Code of Conduct, managing session transitions, assisting with Q&A, and making WCEU announcements.
  • You’ll also help maintain the schedule by notifying speakers of their remaining time.

What it will not require:

  • Lead the discussions yourself or provide expert content.


WordCamp Connect – Greeter & Audience Mic

What your role will include:

  • Welcome attendees and ensure smooth audience participation in WC Connect discussions.
  • Informing attendees when a session is about to start, guiding them to the correct location, and assisting with the microphone during Q&A sessions.

What it will not require:

  • Moderate or speak in the sessions.


Wellness Track Volunteer

What your role will include:

  • Support attendees in wellness activities, ensuring a smooth and enjoyable experience.
  • Assisting participants in yoga sessions and morning/evening walking tours. You’ll help attendees find the designated areas, assist the instructor or tour guide, and ensure sessions run smoothly. 

What it will not require:

  • Lead yoga or wellness sessions.


Speakers Team


Speaker Assistant (SA)

What your role will include:

  • Ensure a smooth and stress-free experience for speakers during their sessions.
  • Guiding speakers through their sessions, assisting with logistics, and coordinating with event staff.
  • Helping speakers find the Green Room, ensuring they have everything they need before their talk, leading them to the stage, assisting with tech setup, keeping time, and running the microphone during Q&A.

What it will not require:

  • Fix complex technical issues or change the program.


Emcee (MC)

What your role will include:

  • Set the room’s tone by introducing speakers, keeping sessions on track, and engaging the audience.
  • Announcing speakers, managing transitions between sessions, keeping time, assisting with Q&A, and sharing important WCEU announcements.
  • Help maintain the event’s energy by engaging with attendees during pauses.

What it will not require:

  • Give talks or present session content.


Track Manager (TM)

What your role will include:

  • Lead a team to ensure the smooth execution of speaker sessions in your assigned track.
  • Managing a team of two Speaker Assistants and an MC, overseeing 3-4 talks per shift, ensuring seamless coordination, and maintaining session flow.
  • You’ll be responsible for keeping the schedule on track, supporting the team, and reporting any issues.

What it will not require:

  • Resolve major AV/technical failures alone.


Workshop Assistant (WA)

What your role will include:

  • Ensure a smooth and stress-free experience for workshop hosts by assisting with setup and logistics.
  • Ensuring the workshop host has everything they need, assisting with room setup, checking tickets (if required), and introducing the workshop host.
  • Support the host with time management and coordination.

What it will not require:

  • Teach or lead workshop content.


Workshop Manager (WM)

What your role will include:

  • Lead the workshop team to ensure the smooth execution of all sessions. Your main tasks will be
  • Overseeing 1-2 workshop rooms per shift, managing Workshop Assistants, coordinating workshop registration, and ensuring proper setup.
  • You’ll be responsible for keeping everything organised and supporting the team throughout.

What it will not require:

  • Develop or deliver workshop content.


Green Room Assistant

What your role will include:

  • Ensure a welcoming and stress-free experience for speakers in the Green Room.
  • Your main tasks will be greeting speakers, making sure they have everything they need, maintaining a quiet and comfortable space, and coordinating with the event team.
  • You’ll also keep an eye on their belongings during sessions if needed.

What it will not require:

  • Handle AV or backstage operations.


Local Team


Venue Volunteer

What your role will include:

  • Act as the key link between venue management, the production company, and the Local Team to ensure smooth event operations.
  • Coordinating between different teams, handling urgent needs related to storage, furniture, equipment, and booth setup, and ensuring the venue functions efficiently.

What it will not require:

  • Handle heavy lifting beyond safe limits.


Catering Volunteer

What your role will include:

  • Ensure smooth coordination between the catering provider and the Local Team to keep meal services efficient and organised.
  • Guiding attendees to the correct lunch areas, maintaining order during coffee breaks, regulating crowd flow, and assisting with special dietary requirements. 

What it will not require:

  • Prepare or serve food.


Child Care Assistant

What your role will include:

  • Support the childcare provider and ensure parents and children have a smooth experience at the event.
  • Guiding parents and children to designated areas, assisting the childcare provider with equipment and catering needs, and addressing any other logistical issues.

What it will not require:

  • Take care of the children directly.


First Aid Assistant

What your role will include:

  • Serve as the key liaison between the first aid provider and the Local Team to ensure attendee safety and quick response to medical needs.
  • Coordinating with first aid providers, assisting in medical situations, and addressing health or safety concerns during the event.

What it will not require:

  • Provide medical treatment yourself


Hallway Assistant / Attendee Orientation

What your role will include:

  • Be a friendly guide, helping attendees easily navigate the event space.
  • Assisting attendees in finding rooms, restrooms, sponsor halls, coffee spaces, exits, and other key locations.
  • You’ll help ensure everyone knows where to go and feel comfortable within the venue.

What it will not require:

  • Provide technical session details or answer sponsor-specific questions.


Lunch Orientation Assistant

What your role will include:

  • Help attendees find catering points and navigate meal areas.
  • Guiding attendees to the catering points, answering questions about meal locations, and assisting with general directions within the venue.
  • You may also be asked about restrooms, exits, or other key spaces.

What it will not require:

  • Manage or prepare food.


Door Keeper

What your role will include:

  • Ensure access control by checking badges at designated indoor and outdoor entry points.
  • Verifying that attendees have the correct badges for entry, managing access to restricted areas such as speaker, organiser, and media rooms, and occasionally assisting attendees with general inquiries.

What it will not require:

  • Enforce security beyond badge checking.


Sponsors Team


Sponsor Wrangler

What your role will include:

  • Act as the key point of contact between sponsors and the sponsors’ team to ensure their needs are met efficiently.
  • Walking through the sponsor area, informing sponsors that you’re available for assistance, relaying sponsor requests to the sponsors’ team, and coordinating with the sponsors’ team lead to address any requirements.

What it will not require:

  • Negotiate sponsorship contracts.


Meeting Room Wrangler

What your role will include:

  • Ensure the smooth operation of sponsor meeting rooms by managing time slots and maintaining organisation.
  • Overseeing meeting room schedules, ensuring the correct companies use the rooms at the right time, keeping rooms tidy and properly equipped, and coordinating with the sponsors’ team to resolve any issues.

What it will not require:

  • Handle sponsor negotiations or equipment setup.


Volunteers Team


Volunteers Support / Accessibility Assistant / Floating

What your role will include:

  • Provide essential support to volunteers and assist attendees with accessibility needs while remaining ready to fill in where needed.
  • Bringing volunteers water, food, personal items, or additional equipment while they cannot leave their posts.
  • Assist attendees with accessibility needs and be on standby to replace any missing volunteers in their assigned roles. 

What it will not require:

  • Make changes to the event schedule or volunteer assignments yourself.
