Volunteer Roles
As well as our dedicated organisers, WordCamp Europe has the support of a range of volunteer roles and members who help support our event and ensure all of our attendees have the best possible experience. Below is a a listing of all the volunteer roles available.
Attendee Services
Accessibility Support

Responsible for | Your role is to assist attendees with additional needs. You will be responsible for assisting people who might have disabilities or need assistance with using specific areas of the venue. You will need to know the specific areas which are wheelchair accessible (such as the elevator and the accessible access routes to each Track or Workshop). This role does not have limited scope and you might be asked to assist volunteers with various types of accessibility needs related to moving around the venue. |

Information Desk / Lost & Found Support

Physical Load | Standing Sitting |
Responsible for | You’ll be responsible for providing information to the attendees regarding the entire WCEU event. This could include information in relation to the venue areas, the tracks – even the schedule of events – these are just a few of the questions you will might be asked to answer. But don’t worry, you’re not expected to have all of the answers (it would be great if you did!) but being able to assist in any possible way would be perfect – and where you don’t know the answer, having the initiative to ask the relevant team and/or organiser for guidance. This role will also involve supporting with the collation of lost & found items and be responsible for safe guarding them until the responsible person comes for them. |

Registration Support
Skills required | Strong levels of spoken and written English Strong communication skills Able to stay calm and constructive, sometimes in stressful or difficult situations (for example, registration can be one big peak influx of people right at the start of the conference with hundreds of attendees at once!) Physical Load | Standing Sitting |
Responsible for | You’ll be one of the first interactions with our attendees, and welcoming them to the conference. This role will involve providing initial information to visitors, as well as arranging and distributing badges to attendees, volunteers and speakers. |
Preparation needed | You’ll need to check where the registration desks are and ensure you arrive on time! Registration starts early on the first day of the event and all the preparation needs to be completed ready for when the first visitors arrive. If you are not good at getting up early, this is probably not the best job for you(!) |

Swag Station Team

Physical Load | Standing Sitting Moving boxes with T-Shirts and other swag items |
Responsible for | You’ll be responsible for the distribution of free swag to our visitors. This includes: – keep a good order on the swag table – unbox boxes of swag and move them to where they’re needed – give swag to attendees and check attendance records once completed |

Community Team
Childrens Workshop

Responsible for | You’ll be assisting the workshop trainer with running our childrens’ workshop events. |

Community Booth
Skills required | Good understanding of English Friendly and caring approach Sensitive to the WCEU brand and reputation Knowledge of WordPress.org and Make teams |
Physical Load | Walking Standing Lifting |
Responsible for | You’ll be based at the Community Booth and starting conversations with attendees, along with answering their WordPress questions, and also questions about the community, how to contribute and the Make teams. |

WP Connect
Skills required | Friendly and caring approach Sensitive to the WCEU brand and reputation Willing to be in the picture Aware of the Code of Conduct (CoC) |

Responsible for | You’ll be the leader to support and facilitate discussions with attendees within the WP Connect area, ensuring conversations run nicely and whilst keeping the CoC in mind |

Wellness Track
Skills required | Strong levels of spoken English and Greek Friendly and caring approach |
Physical Load | Walking Standing |
Responsible for | You’ll be supporting the workshop leaders to setup their event within the Wellness Track. With attendees, you’ll be the ‘goto’ person regarding everything not related to the workshop directly, such as directing to different areas within the venue or providing information on other events. |

Media & Communications Team
Communications Support

Responsible for | Select and sort the best photos from photographers Write photo captions to be published on social media Prepare selected photos by renaming and adding to the correct folder structure/files Uploading videos to social media channels (if needed) Prepare social media graphics from predefined templates (if possible) |

PR Wrangler
Skills required | Good written and spoken English At least one volunteer per shift should also be fluent in Greek |

Responsible for | Support the PR team in facilitating the scheduled interviews by Media Partners and Supporters. |
Preparation needed | Have a mobile phone always charged, read about media partners, learn about speakers, learn about the organising team and the leads, learn about the daily schedule. |

Social Media Support

Content team
Emcee

Responsible for | Announcing speakers and transitions between sessions for 1 track |
Preparation needed | Before the event * Get connected with speakers, and your shift colleagues in the appropriate Slack channel * Introduce yourself to the speakers * Ask them for some information to introduce them * Audio pronouncing their name (and sometimes city name if it’s mentioned) * 2 preferred backup questions for the case if they finish the talks and there are no questions from the audience immediately Before the shift * Know all speakers’ bios and credentials for shift * Know speaker information for backup speakers * Know the schedule and the speakers for your shift |

Organiser Assistant

Speaker Assistant
Primary content team role. Takes full responsibility for speakers’ experience in their shift.

Responsible for | Responsible for the success and peace of mind of speakers of 1-2 sessions |
Preparation needed | Get to know speakers, introduce yourself to your speaker and find them about 60 minutes before their talk |

Workshop Assistant

Responsible for | * Making sure workshop host has everything needed * Assisting with room setup * Checking tickets (maybe?) * Introducing the workshop host |
Preparation needed | * Know the workshop hosts’ name, bio, what they look like. * Have direct communication channels with Workshop Manager, Workshop Registrar and the hosts in the shift. * Know the techs, and other relevant things. |

Workshop Registrar
Checks that each registrant has the prerequisites and distributes tickets accordingly.

Responsible for | * Checking for prerequisite knowledge, hardware, software, and settings * Distributing tickets * Having sufficient technical knowledge to ensure that prerequisites are met * Giving priority to attendees registering for Workshop starting soon * Helping other attendees as time permits |
Preparation needed | Review provided list of prerequisites for each workshop paying special attention to those during and shortly after your shift. However, you are likely to have attendees asking for tickets for any workshop that has not yet happened, so make sure you are ready for them. |

Lunchtime Support

Responsible for | This is a limited in length shift (i.e. special shift) Your role will be to allow attendees to proceed to the lunch area in a controlled manner. You’ll need to know where the serving stations are located and assist visitors locating where with specific food types are being served (for example, Halal, Vegetarian alternatives, etc) |
Preparation needed | Your shift will start 15 minutes before the lunch break and last up to an hour depending on the speed of the process. |

Runner

Responsible for | This role will involve supporting our volunteers and bringing them everything they might need during their shifts while they are unable to leave their post. This could be water and/or eating, personal items and belongings from the volunteers’ room, an additional chair or required/additional equipment for their shift. You will be a ‘runner’ during your shift and therefore may be moving around the venue for long periods of time. You’ll be reporting to a volunteer planner and this will involve communicating with them through our preferred platform (Slack), therefore you’ll need to have a mobile device with you. Additionally, you may need to reply to requests from your volunteer colleagues in the Volunteers Slack channel. |

Photography Team
Media Wrangler
